How I Stay Organized (and sane) as a Multi-Passionate Woman

If you’re anything like me, a woman with multiple passions, roles, and responsibilities then you know how real the overwhelm can get.

I’m a mom, a wife, a digital entrepreneur, a course creator, a community builder, a writer, and sometimes (on really productive days) a decent cook.

I wear a lot of hats. And for the longest time, I tried to “balance” them all only to end up exhausted, frustrated, and wondering if I was doing any of it right.

But over the years, I’ve learned that organization isn’t about being perfect. It’s about creating systems that support your energy, honor your priorities, and give you room to breathe.

So today, I want to share how I stay organized (and sane) as a multi-passionate woman who’s juggling a lot, just like you.

1. I KNOW MY SEASON
One of the most powerful mindset shifts I made was this:
I can do everything I love. But not all at once.

There are seasons for building, seasons for resting, seasons for learning, and seasons for launching. When I stopped fighting for “balance” and started living in rhythm with my season, I felt less pressure and more peace. (I call it ‘blend’ nowadays)

2. I DECLUTTER MY MIND FIRST
Before I organize my schedule, files, or workspace.. I organize my thoughts.
I do weekly brain dumps, list everything down (work tasks, ideas, reminders, even random thoughts), and move them into my notes (or at present: my notion system).

I’m a huge fan of Tiago Forte’s Building a Second Brain system. They’ve helped me turn scattered notes into structured insights. I’ve been a note-taker since I was a young girl, and I can confidently say: my notes have saved my sanity more than once.

3. I HAVE MY TODO LIST BUT I WORK IN TIME BLOCKS
Yes, I still make to-do lists (they’re super helpful!), but I’ve learned that without boundaries, they can easily become overwhelming. So instead of chasing a long list all day, I now work in intentional time blocks that support both my energy and my season of life.

Mornings are sacred. They’re for me-time: prayer, stretching, a quiet walk, or just slowing down before the day gets busy. It’s also the time I intentionally spend with my son, helping him get ready and setting the tone for both of us. Midday is for deep work. I guard a focused time block for my most important tasks. It’s non-negotiable.

By noon, I pause and shift into mom-mode again: lunch, playtime, and snuggles until my son naps. Afternoons are for home checks then I ease into another work block, tying up loose ends. This rhythm allows me to honor both my work and my motherhood without burning out. Because productivity isn’t just about getting things done, it’s about doing what matters with intention and peace.

4. I USE TEMPLATES (LIKE, A LOT)
From emails to proposals, course outlines to onboarding and many more. I don’t start from scratch. I’ve created a library of templates that I reuse and refine. It saves time, reduces decision fatigue, and makes me feel in control even during busy seasons.

5. I GIVE MYSELF GRACE.
Some days I’m a productivity queen. Other days? I just show up, and that’s okay. I can’t be 100 everyday AND.THATS.OKAY.

I care deeply about getting things done.. and not just done, but done well. But I’ve also learned that productivity isn’t just about all that. It’s about meaningful progress. Now, I measure my success not only by what I accomplish, but by whether each task brings me closer to my values, goals, and purpose. It’s not about staying busy, it’s about closing the loop, creating results, and doing work that truly matters.

6. I BRING SYSTEMS INTO EVERYDAY LIFE.
From our clothes to the kitchen, the laundry area to my son’s toys and educational materials, everything has a “home.” There’s a system for where things go, how they’re stored, and how we keep them in order.

Being organized isn’t about doing more. It’s about doing what matters with peace and purpose.
And to all the women out there trying to keep it all together: You don’t have to be everything to everyone.

Just be whole where you are.
Honor your current capacity.
Build systems that serve your life, not the other way around.
